Position Description:

  1. Provides administrative support that allows the CEO to focus on high-level leadership and strategic priorities.
  2. Supports the CEO in managing communications with staff, board members, partners, and donors to strengthen fundraising and investor relations.
  3. Coordinates communication with internal and external stakeholders, maintaining professionalism and alignment with T1L1’s culture of excellence and celebration.
  4. Assists in planning, organizing, and executing fundraising initiatives, events, and investor relations activities.
  5. Maintains organized records, correspondence, and scheduling to keep the CEO’s priorities aligned with fundraising goals and organizational objectives.

Position Responsibilities

  1. Administrative Support
    • Provides administrative support to the CEO.
    • Coordinates domestic and international travel arrangements for the CEO and other executives.
    • Serves as the primary point of contact between the CEO and internal staff.
    • Organizes and prioritizes information, correspondence, and contacts for the CEO’s review and follow-up.
    • Manages time-sensitive and highly confidential information with discretion and professionalism.
    • Prepares correspondence, reports, and presentations on behalf of the CEO.
    • Manages the creation of investor communications, including letters, memos, charts, and tables, on a regular schedule.
    • Manages the CEO’s calendar, coordinating meetings, appointments, and scheduling priorities.
    • Recruits and supervises volunteers to enhance the efficiency and impact of this role.
    • Processes expense reports for the CEO.
    • Completes additional projects and assignments as directed by the CEO.
  2. Investor Acquisition & Nurturing Coordination
    • Serves as a liaison between the CEO and external contacts/supporters to assist in recruiting and nurturing.
    • Monitors and records all investor communications in the investor management database (Keap) in a timely and accurate manner.
    • Handles financial transactions and investment documentation received by the CEO promptly and with confidentiality.
    • Communicates with investors to coordinate logistics and provide updates related to company activities and initiatives.
    • Completes additional projects and assignments as directed by the CEO.
  3. Board of Directors Logistics
    • Coordinates logistics for weekly, quarterly, and off-site meetings.
    • Prepares and distributes meeting materials for the Board of Directors, Executive Team, and staff.
    • Assists the CEO in managing the process of recruiting and onboarding potential board members.
    • Completes additional special projects and assignments as directed by the CEO.
  4. Event Planning & Logistics
    • Works independently in a fast-paced environment to coordinate all aspects of company-sponsored conferences, retreats, and fundraisers led by the CEO.
    • Serves as project manager for conferences, retreats, and fundraising events initiated or directed by the CEO.
    • Oversees logistics for events, including venue selection, catering arrangements, and vendor coordination.
    • Completes additional projects and assignments as directed by the CEO.

Position Qualifications and Requirements:

  1. Bachelor’s degree or equivalent combination of education and experience.
  2. Demonstrated administrative support experience, preferably in a nonprofit or executive-level setting.
  3. Exceptional verbal and written communication skills, with the ability to handle sensitive and confidential information with discretion.
  4. Strong interpersonal skills with demonstrated poise, tact, and professionalism in all interactions.
  5. Highly organized, detail-oriented, and skilled at managing multiple priorities in a deadline-driven environment.
  6. Proactive self-starter who anticipates the needs of the CEO and provides timely, accurate information.
  7. Proficient in Google Workspace and Microsoft Office Suite; skilled in Canva and other digital tools for creating visual reports and presentations.
  8. Capable of translating data into clear, visually engaging reports and materials.
  9. Strong follow-through, time management, and prioritization skills.

Working Conditions and Expectations:

  1. Office environment.
  2. Minimal out-of-town travel
  3. Some after-hours support required
  4. Wide degree of creativity and latitude expected

Job Type: Full-time

Pay: $40,000.00 per year

Position Description:

The Program Administrator oversees the T1L1 Mobile Mentor app, supports group onboarding, and ensures smooth operations. Responsibilities also include managing program supplies, documentation, and assisting with marketing and engagement efforts.

Position Responsibilities

  1. Program Support
    • Oversee the ordering, inventory, and shipping of program supplies, ensuring timely delivery and accurate tracking.
    • Collaborate with area program coordinators to generate, and distribute graduation certificates and service project letters for student program participants.
    • Prepare quarterly invoices for area program-related expenses.
    • Serve as a point of contact for inquiries related to supplies, invoices, and program documentation.
    • Ensure the program office is well-organized and supplies are stocked, promoting an efficient work environment.
  2. App Community Management
    • Oversee the management and daily operations of the T1L1 Mobile Mentor app, ensuring all content is current, user engagement is monitored, and technical issues are resolved quickly.
    • Lead registration and onboarding for new users and Mobile Mentor groups, ensuring a smooth enrollment process and providing necessary guidance and support.
    • Manage and support Mobile Mentor groups, assisting mentors with setup, tracking group activity, and ensuring ongoing engagement.
    • Support the marketing team in developing and executing strategies to increase app downloads, promote engagement, and expand Mobile Mentor participation, ensuring alignment with overall marketing initiatives.
    • Create and maintain user guides, tutorials, and FAQs to assist students, mentors, and group leaders in navigating the app effectively.
    • Regularly review and respond to user feedback and inquiries to improve the user experience and address concerns.
    • Work closely with app developers to address technical issues, troubleshoot bugs, and implement new features or updates.
    • Coordinate with the content team to ensure fresh, relevant, and engaging materials are consistently uploaded to the app.
    • Track user engagement metrics, analyze app usage trends, and provide reports to help guide improvements and feature enhancements.
    • Ensure the app complies with security and privacy standards, safeguarding user data and confidentiality.
    • Manage and schedule push notifications and in-app messages to keep users informed about updates, events, or new content

Position Qualifications and Requirements:

  1. Bachelor's degree in Business Administration or Office Administration preferred, or equivalent professional experience.

  11. Previous experience in an administrative support role is preferred with an emphasis on professional communication and organizational coordination.
  12. Passionate about youth development.

Working Conditions and Expectations:

  1. A valid driver's license and access to a personal vehicle are required for occasional job-related tasks.
  2. Primarily office-based, with the option for occasional remote work as approved by management.
  3. The standard workweek is 40 hours, with occasional additional hours as needed.
  4. May involve after-hours support on an as-needed basis.
  5. Creativity and autonomy within the role are encouraged.
